Mail migration from Local Clients to Zimbra Webmail
Hello,
SII team has started an action to migrate all mails from local to the Zimbra Webmail server. These actions are necessary for:
- increasing the security (mails will no longer be stored the PCs, which can be lost or stolen)
- automatic backups
- the availability to access all mails from any mail client
- the changing of the PC’s will not involve migration of mailboxes.
These actions will be performed during 15 May – 29 June and will be managed by Radu Severin (Helpdesk SII) in collaboration with a local technician. The plan for these actions is:
- we will determine availability of each person and will identify the method of the migration:
- by yourself with the support from Helpdesk team;
- partial or integral by the Helpdesk team;
- after determining the intervention time on your PC and the method of the migration, we will start the actual migration.
To not impact your production time, we suggest to organize Helpdesk interventions outside working hours.
Methods for mail migration:
- If you use Outlook, Thunderbird or Apple Mail, and the account is configured in POP (messages are fully downloaded):
- a new IMAP account will be created
- all mails will be copied from one account to another (drag&drop). This way the mails will be transferred to the server.
- If you use Outlook + Zimbra Connector it’s not necessary anymore to create an IMAP account and the method will be the same – drag&drop from old *.pst files to Zimbra account.
Methods for the filters migration:
- If you have filters on the local client Outlook/Thunderbird/Apple Mail:
- they will be migrated just from POP to IMAP account in the local client. It’s not possible to automatically migrate filters from local to webmail.
- if you wish to organize and filter the mails directly on the server. It will be necessary to recreate all filters on the server. These changes will take time, but it is recommended by us. You’ll have the following advantages:
- same organization of emails indifferently which mail client you use: webmail, outlook, thunderbird, mobile client….
- when changing your PC or your mail client there will no longer be the need to migrate mail accounts, filters, rules.
- If you have the filters created already on the webmail, it’s not necessary to make any changes.
You will be contacted in the next weeks to organize the migration.
Important: To avoid the unavailability of the mail service or Internet connection in the agency, we ask you not to migrate by yourself until you are contacted and informed that you can do these actions. Your mail box size will be increased just before the migration will be started.
To decrease the migration time and optimize your mailbox storage use, we suggest that you make some clean-up of unneeded mail before the migration process (ex: delete old/unnecessary notifications).
